Data consent, privacy and rights
How we approach participant consent, site authorization, and privacy when collecting real-world video data for robotics and Physical AI teams.
Consent and authorization
Participant consent
Participants are informed about what is recorded and how the footage will be used before any recording session begins.
Site authorization
Recording takes place only in homes and workplaces where the owner or responsible party has authorized collection.
Client-specific restrictions
Data-use restrictions requested by a client are recorded in the project brief and applied to collection, handling, and delivery.
Privacy-first collection procedures
Recording guidelines instruct participants to avoid intentionally capturing:
- Children
- Identity documents
- Contact details such as phone numbers and addresses
- Confidential documents
- Private screens, including phones and computers
Accidental sensitive captures
Reporting
Participants and reviewers flag footage that may contain sensitive content during collection or quality review.
Handling
Flagged segments are reviewed and then trimmed, masked, or excluded before delivery, as agreed for the project.
Incident escalation
Issues that cannot be resolved at review are escalated to project leads and communicated to the client.
Retention and deletion
Retention periods and deletion of raw and processed footage are agreed with each client and documented for the project.
Procedures versus contractual commitments
This page describes our documented operating procedures. Binding obligations — such as data ownership, licensing, retention periods, and security requirements — are set out in the agreement signed with each client.
Veda Solutions does not claim legal certification or universal regulatory compliance. Requirements specific to your jurisdiction can be discussed for your project.
